This policy explains how Chartling, operated by Cladeworks LLC, collects, uses, and protects information when you use our veterinary practice platform.
Who controls the data
For clinical, client, and patient records that your practice enters into Chartling, your practice is the data controller and Chartling is a data processor. We only use those records to provide the service to you and on your documented instructions.
What we collect
- Account data: name, email, role, practice affiliation.
- Clinical data you enter: patient records, SOAP notes, invoices, prescriptions, inventory, audio captured for ambient scribing.
- Usage data: log events, device/browser information, performance metrics.
- Billing data: handled by our payment processor; we do not store full card numbers.
How we use AI
Chartling uses third-party AI models (via the Lovable AI Gateway) to generate draft SOAP notes, summaries, and proposed clinical actions. These drafts are always reviewed and signed by a licensed veterinarian before they become part of the medical record. We do not allow AI providers to train their models on your practice data.
How we share data
We do not sell your data. We share it only with:
- Sub-processors that help us run the service (hosting, AI inference, email, analytics).
- Authorities, when required by law.
- Anyone you explicitly authorize (for example, a referral hospital you share a record with).
Security
Data is encrypted in transit (TLS) and at rest. Access is gated by row-level security policies and audit-logged. Practice administrators control which team members can access controlled substance, billing, and clinical workflows.
Retention
We retain your data for as long as your account is active and for a reasonable period afterward to comply with veterinary recordkeeping laws. You may export or request deletion at any time.
Your rights
Depending on where you live, you may have the right to access, correct, export, or delete your personal data. Email support@chartling.io to exercise these rights.
Text messaging (SMS)
If you provide a mobile phone number and opt in to text messages — either by checking "OK to text appointment reminders" on a clinic's intake or booking form, or by texting START to a clinic's number — that clinic may send you transactional SMS messages such as appointment reminders, service alerts, report cards, and care-related notifications.
- No sharing: Mobile phone numbers are never sold or shared with third parties for their own marketing purposes.
- Message frequency: Message frequency varies based on your appointments and the services your clinic provides.
- Rates: Message and data rates may apply.
- Opt out: Reply STOP at any time to unsubscribe. You will receive one confirmation message and no further texts from that clinic.
- Opt back in: Reply START to re-enable messages.
