How it works

Clinic Copilot is a chat-based AI assistant embedded in Chartling. You can type questions in plain English ("which patients are overdue for a dental cleaning?", "what's our revenue today?", "schedule a recheck for Luna in two weeks") and Copilot responds with information or proposes an action.

For questions, Copilot pulls from your clinic's live data and responds directly in the chat. For actions, Copilot always shows you what it intends to do in a card before doing it. You confirm or cancel. Nothing is committed until you say so.

You're always in control

Copilot cannot execute write actions without your confirmation. Every scheduling, reminder, task, or protocol action appears in a propose-and-confirm card first.

Copilot is available on every paid tier, but not the same Copilot

Chartling's tiers are not a strict ladder. Operations and Intelligence cover different halves of a clinic (business operations vs. clinical AI), and Practice is the only tier that unions both. Clinic Copilot is gated primarily on the clinical AI entitlement, so an Intelligence-only org gets the full chat assistant too, alongside the ambient scribe and clinical decision support. This is a change from earlier guidance that said Intelligence-only orgs didn't get Copilot at all. An Operations-only org (no clinical tier) doesn't qualify for that clinical gate; it falls back to a separate, restricted ops-only Copilot that can still schedule, remind, and report, but refuses clinical questions and actions. Practice orgs get the unrestricted version.

What Copilot can do

Within Operations and Practice, Copilot's capabilities depend on which features your org has purchased or unlocked. The table below shows what's available:

Clinical decision support (drug interactions, differentials) is not a Copilot tool. It's its own dedicated surface on the patient chart, described on the clinical decision support page. Ask Copilot a clinical question and it can look up patient info from the tools above, but the CDS checks themselves run from that separate panel, not through chat.

Copilot does not take clinical actions

Copilot cannot create or modify SOAP notes, prescribe medications, or finalize visits. All clinical writing happens through the standard visit workflow. Copilot is for operational tasks and information retrieval.

Propose-and-confirm

When you ask Copilot to take an action, it responds with a proposed action card, a structured preview of exactly what will happen. The card shows the action type, target (patient or client), and the specific change that will be made.

  1. Ask Copilot to do something

    Type your request naturally: "Book a follow-up for Luna with Dr. Chen on the 30th at 10 AM." Copilot interprets the request and maps it to a specific action in the system.

  2. Review the proposed action card

    Copilot shows a card summarising what will happen: the appointment details, patient, provider, and time. Read it to confirm it matches your intent.

  3. Confirm or cancel

    Click Confirm to execute the action, or Cancel to dismiss it. You can also type a correction ("make it the 31st instead") and Copilot will update the card before you confirm.

Safety & permissions

Copilot actions run through exactly the same permission-checked server functions that clinic staff use when working through the regular UI. This means:

Opening Copilot

Copilot is available from any screen in Chartling via the floating button in the bottom-right corner. The panel opens without leaving the page you're on.

Copilot keeps one rolling conversation per user, per clinic. It's not scoped to a single session. Close the panel or reload the page and your conversation is still there when you reopen it, so a follow-up question days later still has the earlier context. Click Clear conversation in the panel if you want a clean slate.

On top of that, Copilot can hold onto specific facts across every conversation. That is its durable memory, sometimes called "the Brain." Ask it to remember something clinic-wide (a preference, a standing instruction) and it recalls that fact in future chats, not just the current thread. You can review and delete anything it's remembered from the memory panel.

FAQ

Can Copilot sign a SOAP note or prescribe medication?

No. Clinical signing and prescribing are deliberate vet actions that always require the vet to engage the standard clinical workflow. Copilot is for scheduling, reminders, tasks, and information. It has no clinical write access.

What happens if Copilot misunderstands my request?

Copilot always shows a propose-and-confirm card before acting. If the card doesn't match your intent, type a correction or click Cancel. Nothing changes until you click Confirm.

Can I use Copilot to look up information without it doing anything?

Yes. Most questions ("what's our appointment count today?", "is Luna's rabies vaccine current?", "which clients haven't been in for over a year?") return a direct answer without any propose-and-confirm step. Copilot only proposes an action when you ask it to change or create something.

Is the conversation stored?

Yes. Copilot keeps a rolling conversation per user so it persists across sessions rather than resetting each time you open it; click Clear conversation in the panel to wipe it. Separately, the audit trail records actions Copilot took on your behalf (e.g., "appointment booked via Copilot") regardless of whether you've cleared the chat itself.
