How it works
The AI scribe listens to the exam conversation through your device's microphone. When you stop recording, Chartling transcribes the audio and generates a full SOAP draft β Subjective, Objective, Assessment, and Plan β populated from what was said during the visit. The draft is proposed for your review; nothing is committed to the patient record until you confirm it.
AI-generated content is a draft, not a finalized note. Always review for accuracy β especially dosing, differentials, and plan items β before signing.

Open a visit and enable ambient capture
Start or open an in-progress visit. Click Start capture (microphone icon) at the top of the SOAP. Your browser will prompt for microphone permission the first time β allow it.

Conduct the exam naturally
Speak normally with the client and talk through your findings as you examine the patient. You don't need to dictate in any particular format β the scribe is trained on veterinary exam dialogue and understands clinical shorthand.

Stop capture and generate
When the exam is complete, click Stop capture. Chartling sends the audio for processing. Generation typically takes 10β30 seconds depending on the length of the recording.

Review the proposed SOAP
The draft appears in the SOAP fields. Each section is highlighted as AI-generated. Review all four sections carefully. Edit any field directly β the scribe draft is a starting point, not the final record.

Confirm and sign
When the draft looks correct, click Confirm to accept the AI content into the note. Then sign the SOAP as normal. The signed note is your record β the AI-generated origin is logged in the audit trail but not displayed to the owner.
Audio & privacy
Audio is transmitted over an encrypted connection and used only to generate the SOAP draft for that visit. It is not stored after processing completes. Transcripts are retained as part of the visit audit trail.
Inform clients that ambient recording is in use at the start of the visit. Chartling's consent capture includes an ambient-recording disclosure when enabled in your clinic settings.

FAQ
Recording runs from when you click Start capture to when you click Stop capture. Nothing is recorded outside that window.
The scribe handles typical clinic background noise (equipment, the animal). For very noisy recordings, some sections may be incomplete or uncertain β those sections are flagged in the draft. Review them carefully and fill in any gaps manually.
Yes. The scribe uses the device's built-in microphone. A phone or tablet held near the exam table typically produces good results. An external Bluetooth microphone also works.
Yes. Each ambient capture generation uses a portion of your monthly AI quota. Quota usage is visible in Settings β Billing β AI usage.
